SILC CLIENT IMPLEMENTATION PROCEDURES
The
below Steps are color coded for the following actions:
Berg Action Client Action Joint Actions
Step 1 Agreement is signed and parties agree to share information. Client
acknowledges the need for dedicated staffing and that a Berg representative will come on site to train and to assist in
the process of implementing the testing and adoption of recommended sources.
Step 2 New Client Questionnaire
is completed by Client providing details of search and preferences and vendor specifications needed for Berg to make proper
recommendations and a file of areas served, search types, sources, volumes and costs and their Researcher Agreement if applicable. Client is given SILC user name and password.
Step 3 Berg
prepares an inernal working document (Client Master Spreadsheet) and the Client’s Requirements for Research
Providers document which is based on the Client’s file and the answers to New Client Questions. This becomes a
document which will be sent to prospective sources for their compliance. Berg sends these documents to the Client
for approval.
Step 4 Berg continues
the SILC process, preparing spreadsheet to upload including standardization of county names, product codes, etc. Then Berg begins source selection which involves multiple steps including making
the initial selection, verifying selections, running a series of reports to resolve duplicates or missing choices,
volumes assigned to each source, comparison of source prices and resolving any issues resulting from the selection
process. Berg contacts researchers with situations that need to be resolved
for client specific negotiations.
Step 5 Once the
Berg review of SILC source choices is complete, any additional questions based on the Client’s specifications are then sent to Client for answers.
Step 6 Answers
to the additional questions and Client’s approval of the Client’s Requirements for Research Providers and
the Researcher Agreement revisions are received.
Step 7 The choices
are made in SILC by Berg on any previously unresolved source issues thereby completing the selection of recommended sources.
Step 8 Client confirms their dedicated staff is in place. Travel arrangements are made for the Berg Representative. Berg
sends Client a list of courts for Client to pull hits to test. Client
will hold these until Berg Representative arrives to begin the testing process so dates can be entered into SILC.
Step 9 Berg sends
the Client’s Requirements for Research Providers and the Client’s Researcher Agreement (if applicable) to
the prospective new researchers for confirmation of prices, court fees, coverage areas and acceptability of terms and
conditions.
Step 10 When confirmation
is received from Researchers, final steps are taken to confirm all sources in SILC.
Step 11 Berg Representative arrives
at the Client's site and is introduced to the Client's personnel assigned to the project. Berg is then briefed on the Client's
system and procedures. Berg trains the Client on the SILC system.
Testing of sources begins with chosen test case names.
Step12 Upon return of
tests, results will be reviewed and determination made to adopt the source, retest if results are questionable or to
choose another source for testing. Update dates in SILC.
Step13 Sources are then adopted into client’s
operating system and SILC. Berg representative also works with Client to
prepare procede for monthly and quarterly reports.
